Room booking on behalf of other users
GoBright now allows you to book meeting rooms on behalf of other users, making it easier for assistants, team leads, or office managers to manage the meetings. Whether you’re organizing meetings for an executive, planning sessions for a team, or simply helping a colleague, you can now schedule room bookings directly in their name.
The person you’re booking for will be automatically listed as the meeting organizer and will receive all relevant notifications and calendar updates. Your name will be recorded as the booking creator, ensuring clear visibility of who scheduled the meeting.
It is not possible to modify the meeting organizer for meetings that took place in the past.
How to Use:

Firstly, you must have the appropriate permissions assigned to your User Role.

Go to the room booking dashboard.

Select the room and input all other required information.

Click in the “Organizer” field and select the person you’re booking for.

Complete the booking as usual — they’ll receive a confirmation.
Creator of the meeting
When a booking is made on behalf of another user, the original creator of the meeting remains visible in the booking window.

Once the booking is confirmed, the person you booked for will automatically receive an email with all the meeting details. If the room is integrated with Microsoft 365, the meeting will also appear in their Outlook calendar.
Important notes for integrated rooms
If you’re booking a room that is integrated with Microsoft 365, you won’t be able to change the meeting organizer after the meeting has been created.
For integrated rooms, the meeting is automatically synced with the user’s Outlook calendar. GoBright follows the Outlook’s permissions model—this means that unless you have delegate access to the other user’s mailbox in Outlook, you will not be able to modify the organizer after the booking is created.
