Zone booking of desks

Zone Booking is a new feature available in the GoBright portal that allows you to group desks into designated zones. Instead of reserving a specific desk, users can now make a booking within a zone, giving them greater flexibility and convenience.

When a user books a zone, they secure the right to work in that area without needing to select an individual desk in advance. Upon arrival, they simply choose any available desk within the booked zone. This system is ideal for organizations that want to simplify the booking experience for their employees.

Later in this article, you’ll find detailed instructions on how to configure zone booking and make bookings within a specific zone. But first, here’s some important information to keep in mind.

Booking a desk grouped in zone can be done via the GoBright portal, the GoBright mobile app, scanning an NFC/QR sticker and on the Map viewer Version 2.

Desks within a zone can only be linked to NFC/QR code stickers.
It is not possible to link desks grouped in a zone with other hardware such as Interact, Connect, RF sensors or Map viewer Version 1.

Zone booking can be configured with or without early presence confirmation and check-in.
All desks in the zone will remain green (available) until the total number of bookings reaches the zone’s capacity. For example, in a zone with 4 desks and 3 bookings, all desks will still appear green since one is still available. Once all desks are booked, the zone color will change to orange – indicating it’s time to check in – or red, meaning all desks in the zone are occupied.

Check-in is only possible via NFC/QR sticker. The check-in for zone booking is not supported in the GoBright portal nor on the GoBright Interact and Connect devices.

Configuring desk zones

Follow the steps below to configure your desk zone.

1. Go to Settings > Work > Desks and on the ‘Add’ button select the arrow. Then select ‘Add zone’.

2. Adjust the required settings on the left, then choose to add either a single desk or multiple desks to the zone.

3. When adding multiple desks, complete the required fields including the starting number, total number of desks to create, and any desired name prefix or suffix. Then, click ‘Generate’.

4. After generating the desks, select ‘Insert’.

5. Save your newly created desk zone.

6. You can find the zone in the Work > Desks section, where its capacity is also displayed.

7. Link the desks on the maps following the usual process.

Make a booking in a desk zone

Booking a desk grouped in zone can be done via the GoBright portal, the GoBright mobile app, scanning an NFC/QR sticker and on the Map viewer Version 2.

When you hover over a desk on the map in the Portal or click on a desk on the mobile app within a specific zone, you’ll see an overview of other users who have bookings in that zone. You can also view the number of available desks remaining.

Select any desk within the zone to proceed with your booking. At this point you’ll also be able to see the zone’s capacity and view which users have booked in the same zone for that day.

All desks in the zone will stay green, indicating they’re available, until the zone’s full capacity has been booked. Once the last spot is booked, the desks on the map will change to either orange or red, depending on whether the check-in option is enabled.
