Visit Types Configurations
Visitor types allow you to categorise visitors and collect only the information relevant to each type.
You can configure different required information for each visitor type.
Common visitor types include Meeting, Job Interview, Supplier, and Friend/Family. For example, if a visitor selects Friend/Family, it may not be necessary to ask for their Company name, but that information is required when the visitor selects the Meeting type.
Visitor types are always defined within a visitor registration configuration. For instructions on how to configure them, please refer to the Visitor Registration Configuration article.
Create and manage visitor types
Log in to the GoBright portal with your manager account and choose Settings > Visit > Configurations > Open your configuration > Types.
Now choose a Type to configure or add a new visitor Type with the ‘+ Add’ button on the left navigation bar.
Further in this article, you will find instructions on how to configure visitor types to meet your needs.
Translation
If you use multiple languages in your visitor registration configuration, you might need to translate some terms. Most of the translation is already done, but the texts you specify yourself (like the name, custom titles, etc.) need to be translated manually.
Use the ‘Translate’ button at the top, and a popup will show you which translations are needed.
General configuration
You can assign a name to each visitor type, which will be displayed on the Visitor Display. When signing in at the visitor kiosk, visitors will be prompted to select their visitor type.
Visitor types can also be enabled or disabled at any time. Disabling a visitor type will temporarily hide it from the Visitor Display without deleting it.
Pre registration
This checkbox determines whether the visitor type can be used for pre registration by the host when scheduling an appointment. If enabled, the host can invite attendees and automatically send them an email containing a QR code, which can be used for check-in at the digital reception.
If you enable pre registration, you’ll have the option to also enable email notifications for this visitor type. When you check the Mail Enabled box, you can select an email template to be used. This email template will be sent to the pre registered visitors.
Note: If no templates are available for selection, please verify that at least one email template has been configured in the left-hand navigation panel.
When email is enabled, the selected template will be sent to each visitor who is invited as a pre registered attendee. These emails are sent at a scheduled time before the visit and can be customized to your needs.
You can specify when the email should be sent by entering a value in one or more of the following fields: days, hours, or minutes before the scheduled visit date.
The email will always be sent exactly at the configured time before the visit. If a pre registration is made for a visit occurring on the same day, the email will be sent immediately after the registration is completed.
Another option allows you to send a summary email to one or more addresses specified in the next field. When this option is enabled, an email will be sent containing a summary of all pre registered visitors, giving, for example, the receptionist an overview of who is expected to visit the office.
Sign in flow - Fields
Here, you can define which fields visitors are required to fill in when creating the Pre registration or on the Visitor Kiosk. To add more fields, you can configure them in the General Configuration.
- Use ‘enabled’ to use the field for this visitor type.
- Use ‘show’ to show this field in the from for this visitor type.
- Use ‘required’ if you want this value to be mandatory.
There are two types of fields: Kiosk and Pre registration.
If pre registration is enabled, you can configure which fields should be completed when creating a pre registration and which fields are displayed on the Visitor Kiosk. The fields displayed on the Visitor Kiosk determine which information visitors are required to provide when checking in as this visitor type.
Any information provided during pre registration will be displayed on the Visitor Kiosk when the visitor signs in and will not need to be entered again. The visitor only needs to fill in any additional fields that were not completed during pre registration.
In the example below, the email address is a mandatory field, regardless of whether this visitor type is used for pre registration or selected by a visitor who arrives at your building without a pre registration email and signs in at the Visitor Kiosk.
Phone number: Can be entered when creating the pre-registration or when the visitor signs in at the kiosk. This is an optional field.
Company name: Is not displayed in the pre registration form but is requested when the visitor signs in at the kiosk. This is a mandatory field.
License plate: Is requested only when the visitor signs in at the kiosk.
Note: If a visitor arrives at your building without a pre registration, they will be required to provide all information marked as mandatory in the Kiosk column.
