Adding a service

Services can be added to new or existing bookings, or as a separate request when they are not needed for a specific room. Requests can be added either in the portal, the mobile app or using Outlook.

Services can be added to both new and existing bookings, ensuring flexibility for changing needs. Alternatively, if a service is not associated with a specific room or meeting space, it can be requested independently as a separate item. All service requests can be submitted through the booking portal, mobile app or directly via Outlook, allowing users to choose the method that best fits their workflow.

New service catalog groups, items and cost centers can be added by the administrator.

In this article, we’ll show you how to place service requests using either the portal, the mobile app or the Outlook add-in.

Add a service using the Portal

In the GoBright portal you can add a service in two ways: either by including it with a meeting room booking, or by requesting it on its own if it’s not linked to a specific booking.

Services with booking

When creating or modifying a booking the ‘Add’ button for ‘Services is available at the bottom of the screen. Click the green ‘Add’ button to add a new service.

Select a Group of items and the specific Item you would like to order from the possibilities in the drop-down lists.

Make sure to place the order with the correct quantity of the items, appropriate cost center, delivery time, and all other required details. The price is calculated automatically based on the number of items required.

Submit all necessary orders for the meeting. You can choose to have them delivered at the start of the meeting or at a specific time. Once you’re done, save the meeting. Your order request will then be sent to the service provider for further processing.

If required, make sure to check the box confirming you have the rights to place these service orders.

Services without a booking

Go to Bookings > My Bookings, click the Rooms tab and click the green arrow. Then click Book service(s).

Enter all required information, then proceed to place the order.

Click the ‘Add’ button to proceed with adding the order.

This order isn’t linked to a meeting with a room location, so you’ll need to manually enter the delivery location.

Add a service using the mobile app

You can make room bookings and service requests quickly through the GoBright mobile app. The app allows you to search for available meeting rooms, book them and request any necessary services such as catering, equipment, or room setup.

Add a service using the mobile app

Open the GoBright app and select a room to create a booking. Once the room is booked, you can access the meeting from the Dashboard in the mobile app and make any necessary edits to the booking.

In Edit mode, you can add a service request by going to the Services section and tapping the + icon.

Add a service using Outlook

Outlook offers a convenient and user-friendly way to request services, similar to the functionality available through the portal. Users can easily add services when scheduling a new meeting or modify service requests by editing an existing meeting.

To begin, select a meeting room and click the Services button. To add a service, press the Add button. When you do this, Outlook will first save the room booking, which may take a few seconds. Only after the booking is saved the available service options will be displayed.

To make this process faster in the future, you can select the “Remember for the next 30 days” option. Keep in mind that this selection expires, and you’ll need to re-enable it every 30 days.

Fill in all the details to add a new item to the booking. These details are similar to those displayed within the portal.

When a confirmation is required, the following box will need to be ticked before the request can be made > I am allowed to order services on the chosen cost centers.

Press Confirm to add the service request to the booking. After the booking has been made the request to the service provider will be send.

Note that the room needs to have services enabled before they can be requested.
