TOPdesk and GoBright are partners for Room Management and Desk Management.

For Room Management, you can use TOPdesk in combination with Outlook to book your meeting rooms. The GoBright Room Management integration synchronizes the automated reservations between Outlook and TOPdesk. Employees can easily book a room via Outlook and TOPdesk automatically receives the data from Outlook. Is the appointment cancelled or rescheduled? TOPdesk automatically signals that the room is free so other employees can use it.

For Desk Management, you can check the occupation status of workplaces and book your desk within seconds. Use the smart app or online portal to make a booking anytime, anywhere on an interactive floorplan. Check in / out at your desk and pre-set your personal preferences.

At TOPdesk we have over 20 meeting rooms in the Delft Office. How they are being used? We used to have no idea! We didn’t know if a room was available if we crossed it or if we could place a big or small group there. Well… No more!

After a very valuable conversation where we shared our challenges, AENC showed us how GoBright would brighten our future moving forward. With a reporting tool we got information about the usage of the rooms, what the show-rate was and how much rooms were booked spontaneously instead of recurring! Ever since we have a decreasing no-show rate, so we can say that the meeting rooms are used to the best of their abilities.

All that was very helpful for us, the FM team, to serve our colleagues an office that will actually be used without any inconveniences. One of the biggest plusses for us came in the form of a plug-in for Outlook. Have you seen it? You can see in just one overview which room, with what facilities and how many workspaces are available and most suitable for your meeting. We connected all the office rooms to the software, uploaded pictures for colleagues to have an idea where they will be stepping in and made sure the recurring meetings that weren’t taking place were annulled.

It didn’t stop there, we at last also went for a big screen, narrow casting-like, at the front desk. On this screen you can see in real time which rooms and meeting spaces are occupied or available, for how many colleagues and you can easily reserve your spot as soon as you see one. With the small screens outside every room you can also book it while you stand in front of it! Such a wonderful feature, isn’t it?
